Q: Why should I use CMS to handle my mailing campaign?

CMS Limited have many years experience in the direct mail industry and are expertly qualified to advise you on the planning of your project and its strategy. Whilst you continue with the day to day running of your business and important in-house issues, we can manage your mailing campaign from start to finish: from data management to audience targeting; from design and print to distribution; from handling your campaign responses to dealing with your everyday stock warehousing and distribution needs.

Q: Why should I use a mailing house rather than send mailings myself?

If you'd like to speed up your mailings and improve delivery time, make your documentation simple to open and read and give it a professional edge then you should outsource your mailing requirements. As well as these benefits, CMS can help you maintain a high level of data security and confidentiality and ensure high data quality. You can save money by lowering mailing and manpower costs and save your precious time which could be spent on other areas of your business.

Q: How does the mailing process work?

1. Once your direct or transactional mailing plan has been decided, with our help if needed, and all the design and print stages are complete, you send us your database.
2. We clean and format your data and check the addresses for accuracy to avoid postal delays.
3. We personalise your mailing with the name and address of the recipient.
4. You decide what envelopes you want to use and whether you want to personalise them with a caption or logo. We supply the envelope and print personalise them for you.
5. We arrange any enclosures in the right order then insert them by hand or machine into your envelopes, then seal the envelopes.
6. We sort, bag and label the envelopes. We then arrange for Royal Mail to collect them.
7. At the end of each mailing we provide you with a report detailing what was sent out and when. If you are using our response handling service then we will report to you regularly with campaign results and updates on stock or literature levels.

Q: At what stage in my mailing campaign should I involve CMS?

As early as possible and certainly when you begin to plan your campaign. If you plan on using unusual designs or specially-shaped or sized mailers then it's imperative you contact CMS to discuss the logistics of doing so before you make an investment in print and production. We also need to make sure that your mailing is compatible with our insertion machines and of course, help you work out the most cost effective method of despatch.

Q: I'm worried about the Data Protection Act. Can you re-assure me?

We take data security very seriously and always provide a written contract that sets out how we use and disclose the information you have given to us. We apply tried and tested data checking and cleansing techniques to ensure your data is up to date according to several direct marketing codes of practice. We abide by the rules of the Direct Marketing Association (www.dma.org.uk).

Q: What size mailings can you handle?

CMS pride themselves on dealing with a wide range of clients both large and small. We appreciate that different companies have different needs and we have therefore equipped ourselves to handle mailings of all sizes. Whilst we have the equipment and manpower to despatch hundreds of thousands of items per mailing, we are also more than happy to deal with campaigns that involve smaller scale mailings of just a few hundred.

Q: Do you outsource any of your services?

No. Every one of our services is managed in-house. This ensures security, a speedy turnaround and a thoroughly personal service of which we are completely in control at all times.

Q: How do you charge for your services?

We prefer to quote for each project according to its specific requirements. You can use our Get a Quote form or contact us. Although we prefer to provide detailed costs proposals, we appreciate this is not always possible if you are in the very early stages of planning your project. In these cases, you can ask us for an estimate to give you an idea of costs for budgeting purposes but this will of course be subject to quoting once we have the full details of your project.

Q: How do I know if my direct mail marketing campaign will be a good investment?

The only way to determine with accuracy whether your campaign will be successful is to test and measure. Most marketers will only roll out a full campaign once they have conducted a test sample and found it to be successful. You should start testing a new Direct Mail campaign with a small number, which depending on the size of your business could be a few hundred, or thousands. CMS Limited can run test mailings of any size for you and provide full reports on campaign success so that you can decide whether to proceed.

Q: How can we be sure that our election vote counts will stand up under intense scrutiny?

CMS Limited is well known in the industry and has a solid, trusted reputation for providing a professional service to a range of associations and government bodies. We are independent and all our systems are managed in-house to ensure all the utmost security. We provide an independent Returning Officer to observe the actual voting and/or the counting of ballot papers and ensure it has been done correctly.
